What Is Report Writer?
Report Writer allows you to create custom reports based on the information stored in your MyConstruct account.
You can choose the data you want to report on, select the columns and fields to display, apply filters, group and sort your results, and add summary widgets. Once created, reports can be saved and run again whenever required.
Reports can also be scheduled and emailed, and can be generated in PDF or CSV format.
Accessing Report Writer
To access Report Writer, click Reports from the main left-hand menu in MyConstruct, then select Report Writer. The My Custom Reports screen will be displayed.
The My Custom Reports screen contains any custom reports that have already been created.
From this screen, you can:
- Search for an existing report
- Create a new report
- Run a saved report
- Edit an existing report
- Duplicate an existing report
- Schedule a report to be emailed
- Delete a report
Creating a New Report
To create a new custom report, select + Create New Report.
The Report Builder will open.
The Report Builder is divided into several sections that allow you to build your report.
1. Data Source
The Data Source section determines what type of information your report will be based on.
Depending on the report you are creating, you can select from options such as:
- Jobs
- Opportunities
- Both
- Schedule
Select the data source that contains the information you want to include in your report.
2. Selecting Report Columns
The Columns section allows you to choose the information that will appear in your report.
The selected fields are displayed under Your report columns.
For example, a Jobs report may include:
- Job Number
- Job Name
- Status
- Date Created
- Type of Work
- Contract Date
- and other available job fields.
To add a field to your report, locate the field you want to include under Available fields and select it. The field will then be added to Your report columns. You can repeat this process to add additional fields, or use the search field to quickly find a particular field. For example, you can search for terms such as Status, Contract, Created, Supervisor, or Job.
To remove a field, select the next to the field under Your report columns. You can also drag and drop the selected fields to change their order. The order of the fields in Your report columns determines the order of the columns displayed in the report's Live Preview.
3. Filters & Date Range
The Filters & Date Range section allows you to control which records are included in your report.
This is particularly useful when you only want to report on a specific period or a specific group of records.
- Date field - to select which date should be used when filtering the report.
- Period - determines the date range used by the report. You can select the appropriate period depending on the information you need.
- Filters - to narrow down the report results by selecting a field, choosing a filter condition, and entering a value.
4. Groups & Sort
The Groups & Sort section controls how the information in your report is organised.
- Group rows by - to group records according to a particular field. Grouping can make larger reports easier to understand by organising related records together.
Sort by - allows you to choose the field that determines the order in which records are displayed in your report.
Direction - to choose how the records should be ordered.
5. Summary Widgets
The Summary Widgets section allows you to display summary information alongside your report.
These widgets provide a quick overview of your report data, allowing users to view key figures and trends without reviewing every individual record.
- Stat Cards display key figures or calculations from your report data. You can add multiple Stat Cards to a report to display different key figures.
- Include a chart allows you to add a visual chart to your report. Once enabled, additional chart options will be displayed, allowing you to choose how the report data is grouped and presented.
6. Live Preview
The Live Preview displays a real-time preview of your report based on the selected report criteria and settings. It allows you to review how the report will appear before saving or running the final report, ensuring that the expected records, summary information, and charts are displayed correctly.
7. Save Report
Once you have finished making your report, select Save Report. When saving the report, give it a clear and descriptive name so that it can easily be identified later.
Under Sharing, select the appropriate option to control who can access the report. The report can be set to Private, allowing only you to view it, or Shared, allowing everyone who has access to the report to view it.
After saving your custom report, you can access it from My Custom Reports. From there, you can run the report to view the results or download it as a CSV or PDF.
